Annual Meeting Obligations and Dates

State of the Meeting Report

  • Clerk makes sure W&M starts in January.
  • Worship and Ministry Committee plans and conducts a threshing session, usually the third Sunday in February.
  • W&M presents report in March Meeting for Business. Season one month.
  • Final approval at April Meeting for Business.
  • Clerk sends final report to College Park Quarterly Meeting and to Pacific Yearly Meeting Ministry and Care Committee.

Nominations and Naming Committee

  • Clerk makes sure Nominating Committee starts around January.
  • Nominating Committee presents nominations at March Meeting for Business. Season one month.
  • Final approval at April Meeting for Business.
  • New positions start in May.
  • Clerk appoints two people to Naming Committee in Early February to find a person to serve on Nominating Committee. A name is brought forward at the March Meeting for Business and seasoned for a month. Final approval at April Meeting for Business. New term starts in May.

Racial Justice Minute

  • Clerk of Worship and Ministry Committee makes sure that the Racial Justice Minute is read in March, June and October.

Annual Meeting

  • Clerk announces at April Meeting for Business that this is the annual meeting of the Meeting corporation at which officers are approved.
  • Secretary includes statement in the minutes.

Children and Youth Volunteer Training

  • Clerk makes sure that the First Day School Committee conducts this training once a year (usually around May).

Statistical Report for Pacific Yearly Meeting

  • Clerk makes sure Meeting Recorder and assistants compile this report as of May 31 and sends it to Pacific Yearly Meeting the first week in June.
  • An informational summary of this report should come to June Business Meeting.

Budget

  • Clerk makes sure that the Finance Committee is beginning budget preparation around September.
  • Finance Committee presents proposed budget at November Meeting for Business. Season one month.
  • Final approval at December Meeting for Business.

Tax Payment

  • Treasurer pays property tax in November.

Corporate Filing

  • Meeting treasurer does corporate filing with CA Secretary of State (including officers) in January of odd-numbered years.
